Review, Approve, and Reject Members through Member Approval or Dashboard

Most organizations require prospective Members to apply for acceptance. Your website makes it easy to see who wants to join, and to approve or reject them according to your organization’s criteria for Membership.

  1. Click on the “Membership” tab on the vertical Dashboard menu at the left side of the screen.
  2. Click on the “Member Approval” tab.
  3. In the “MEMBER APPROVAL” window that opens, click on the “Pending” tab below the name of the window to review applications that require administrative approval. The Member information list displays the prospective Member’s name and e-mail address, the date of the Membership request, and a set of action buttons to set the Member’s status. If you are certain that you want to approve a prospective Member, click on the “Approve” button in the “Actions” column to accept the Member’s pending application. Click on the “Reject” button in the “Actions” column to dismiss an applicant who does not qualify for Membership. Click on the “View” button in the “Actions” column to examine the prospect’s application.
    • To review recent Membership approvals from the “MEMBER APPROVAL” window, click on the “Approved” tab below the name of the window. The Member information list provides the name and e-mail address of the approved Member, the date of the request, the date of approval, the name of the Admin who approved the application, and a “View” button to review the Member’s data.
    • To review recent Membership rejections from the “MEMBER APPROVAL” window, click on the “Rejected” tab below the name of the window. The Member information list provides the name and e-mail address of the rejected Member, the date of the request, the date of rejection, the name of the Admin who rejected the application, and a “View” button to review the rejected prospect’s data.
    • To review a pending Membership application before you decide to accept or reject it, click on the “Pending” tab of the “MEMBER APPROVAL” window, and click on the “View” button In the listing for a prospective Member. In the “VIEW MEMBER” window that opens, you can review the prospective Member’s name and contact information. Click on the “Edit” button to open the “EDIT MEMBER” window and make changes to the information. When you have finished editing the data, click on the “Save & Approve” button to save your changes and approve the Membership immediately, or click on the “Cancel” button, the “X” in the top right corner of the window or press the “Esc” key to abandon your changes and return to the “VIEW MEMBER” window.
      • From the “VIEW MEMBER” window, click on the “Approve” button to approve a Membership application. In the “APPROVE” window that opens, enter any notes about the approval that you want to include in the approval message sent to the prospective Member. Click on the “Approve” button to approve the Member. To exit the “APPROVE” window without completing the process and return to the “VIEW MEMBER” window, click on the “Cancel” button or the “X” in the top right corner of the window, or press the “Esc” key.
      • From the “VIEW MEMBER” window, click on the “Reject” button to reject a Membership application. In the “REJECT MEMBER APPROVAL” window that opens, enter any notes about the rejection that you want to include in the rejection message sent to the prospective Member. Click on the “Reject Member” button to reject the Member. To exit the “REJECT MEMBER APPROVAL” window without completing the process and return to the “VIEW MEMBER” window, click on the “Cancel” button or the “X” in the top right corner of the window, or press the “Esc” key.
      • To exit the “VIEW MEMBER” window without making any changes, click on the “X” in the top right corner of the window or press the “Esc” key.

The “Pending,” “Approved,” and “Rejected” tabs all include the ability to search for specific Members and to sort the entire list or a set of search results.

  1. To search all Member criteria at the same time, leave the “Search All” dropdown menu set that way, and type your search text in the “Search Members” box. To search for part of a name, address, or other piece of information, enter only a few letters or numbers into the search field.
  2. Click on the “Search” button or press “Enter”/”Return” to do your search. The search you requested appears in a gray result box below the search field, and the Member list changes to display only those records that match your search criteria.
  3. To change to a specific search category, click on the “Search All” dropdown menu to open it. Select the category you want: First Name, Last Name, Email Address, Phone Number, Address, City, State, or Zip.
  4. To search by combinations of criteria, repeat the search for each criterion in succession. Each of your searches appears in a separate gray result box below the search field, and the Member list changes to display only those records that match all your search criteria.
    • To clear all your search criteria at the same time, click on the “Clear” button. To clear an individual search criterion, click on the “X” at the right edge of its gray result box.
    • To sort your search results by one of the categories of information in the Member list, click on a column name or the pair of arrows to the right of the name. By default, the records sort in ascending order. To change the sort to descending order, click on the pair of arrows again. Each time you click on the arrows, the sort order changes. You can identify the sort order by which of a pair of arrows is dark gray. When the information sorts in ascending order, the arrow pointing up is dark, and vice versa. On unsorted columns, both arrows appear in light gray.

In addition to Member evaluation, approval, and rejection through the “MEMBER APPROVAL” window, you also can perform these functions through the Admin Dashboard.

  1. Click on the “Admin Dashboard” tab on the vertical Dashboard menu at the left side of the screen.
  2. In the “ADMIN DASHBOARD” window that opens, the “MEMBERS” data card displays a number in yellow to the right of the card name if you have pending Member applications to review. The data card displays the name of each pending Member.
    • To view the details of a pending application, click on the “view request” link below the prospect’s name on the “MEMBERS” data card to open the “VIEW MEMBER” window, from which you can edit, approve, or reject the prospective Member.     • To approve a prospective Member directly from the “MEMBERS” data card of the “ADMIN DASHBOARD,” click on the “approve” button to the right of the prospect’s name to open the “APPROVE” window, from which you can approve the prospect.     • To reject a prospective Member directly from the “MEMBERS” data card of the “ADMIN DASHBOARD,” click on the “reject” button to the right of the prospect’s name to open the “REJECT MEMBER APPROVAL” window, from which you can reject the prospect.
